Pro-Gym Fitness

Pro-Gym is the largest premium fitness center in Pula, Croatia, operating three locations across the city. Known for state-of-the-art equipment, personal training programs, and group fitness classes, Pro-Gym serves a diverse community of fitness enthusiasts — from casual gym-goers to competitive athletes.

With a growing membership base and three separate facilities to manage, Pro-Gym needed a unified, modern solution to replace their paper-based card system and streamline the check-in experience for both members and staff.

The Challenge

Replacing Paper Cards at Scale

Three locations, hundreds of members, and a system stuck in the past.

Fragile & forgettable

Paper membership cards were easily lost, damaged, or left at home — causing friction at reception and frustrating members.

Zero security

Paper cards were trivially easy to forge — anyone could write a fictitious expiry date or copy a card entirely. There was no reliable way to verify authenticity at the door.

Peak-hour bottleneck

Manual identity verification at the front desk created queues during rush hours across all three locations.

Slow onboarding

New member onboarding required writing out and handing over paper cards, creating delays between sign-up and first visit.

Access limitations

One location needed automated access control to allow extended-hours entry without permanent reception staff.

Implementation Journey

Phase 1
Discovery & Setup

We analyzed Pro-Gym's existing workflow — paper membership cards, manual check-ins, and three reception desks. The Walletap platform was configured with Pro-Gym's branding in a single session.

Phase 2
Pass Design & Distribution

Custom Apple Wallet and Google Wallet passes were designed with Pro-Gym's green-and-black branding, including member name, membership type, validity, and arrival count. Passes are delivered via SMS or messaging app — members simply tap the link, and the pass is added to their phone wallet in seconds. No app download, no registration, no login.

Phase 3
NFC Reader Deployment

VTAP NFC desktop readers were installed at each of the three reception desks, connected to the Walletap desktop application. Staff can instantly verify memberships with a tap. One location also received a VTAP100 PRO standalone reader that automatically validates membership status and triggers the door to open — fully hands-free entry.

Phase 4
Go Live & Results

From day one, members embraced the new system. The elegant, frictionless onboarding — a single message to the member's phone — led to rapid adoption. Pro-Gym reported a noticeable spike in new member sign-ups, attributing it to the modern, tech-forward experience that differentiates them from competitors.

Always in Their Wallet

Every Pro-Gym member receives their digital membership pass via a simple message. One tap adds it to Apple Wallet or Google Wallet. No app to download. No account to create. No password to remember.

The pass displays the member’s name, membership type, validity date, and current arrival count — all updated in real time. When they arrive at the gym, they simply hold their phone near the NFC reader. Membership is verified instantly, and they’re in.

At reception, VTAP NFC desktop readers connected to the Walletap desktop application let staff verify memberships in under a second. Members simply hold their phone or watch near the reader — membership status, name, and validity appear instantly on screen.

At one location, a VTAP100 PRO standalone reader is mounted at the entrance. It reads the member’s pass, validates the membership, and opens the door automatically — no staff interaction required.
